Welcome to CoilTrack
This guide walks through the recommended onboarding sequence. You can complete the entire setup in a single afternoon or spread it across teams—CoilTrack saves progress automatically.
Before you begin
- Identify an administrator who will manage user invites and integrations.
- Gather product catalog data, active planograms, and location lists.
- Confirm API credentials for telemetry or accounting systems you plan to connect.
Onboarding checklist
1. Configure your organisation
- Create your first organisation or join an existing one using the invite code from your admin.
- Set regional settings (currency, time zone, and units) from Settings → Organisation.
- Add service areas to mirror the way you manage routes today.
2. Import products and locations
- Use the Product Import template to upload catalog items with SKUs, cost, and pricing.
- Add warehouses, vehicles, storefronts, and micro-markets under Inventory → Locations.
- Assign default planograms or slot capacity data where available.
3. Invite your team
- Navigate to Settings → Team to invite users by email and assign roles.
- Use default roles (Driver, Warehouse, Manager) or create custom permission sets.
- Set default organisations to simplify switching for multi-org operators.
4. Connect data sources
- Visit Integrations to connect telemetry providers like Cantaloupe, Nayax, or Parlevel.
- Enable accounting sync to QuickBooks Online or NetSuite for purchasing and sales exports.

Set up planograms
Use the Planogram builder to create reusable templates, assign them to machines, and monitor compliance in real time.
Activate logistics automation
Generate picklists and routes from the Logistics module. CoilTrack prioritises stops based on sell-out risk and service agreements.
Review analytics
Track sales, margin, and cash accountability dashboards under Insights. Export data or schedule recurring reports.
